SURREY WEDDING VIDEOS – TERMS & CONDITIONS

Our standard terms & conditions apply

PAYMENT

We have 2 options for payments:

  • 25% payment of the total invoice value will secure your date with the remaining 75% must be paid in full 30 days before your wedding day.
  • 100% payment of the total invoice value upon deposit (a 10% discount will be applied to the total invoice value for paying in full upon booking).

PAYMENT PLAN AVAILABLE

We know weddings can cost a lot so we offer a 4-point payment plan with payments spaced months apart, please speak to us if you require this.

OWNERSHIP, RIGHTS & USAGE

All media work remains the property of Greenwood Media LTD until full payment has been made, only when the invoice has been paid in full will any work be sent to you on one of our wedding USB boxes and digital download.


WEDDING VIDEOS

The film packages offered are designed as a guide only and can be customised to suit your requirements – please provide us with further details.

All packages include one final video montage of the day delivered on USB Stick for easy playback and use on any device.

Filming on the day is up to 8 or 10 hours (unless specified otherwise), usually, the videographer will film all day until just after the first dance + a little bit of the party and will usually finish with a GoPro time-lapse video of the dance floor party.

Professional graphics are used in the video but we can incorporate a specific graphics set or font if you wish.

We can also add your favourite 50 wedding photographs in a hi-resolution slideshow at the end of the video upon request (photos provided by a separate photographer).

A popular request is to have a slideshow at the beginning of the video showing photos from the couples/individuals’ childhood / teenage years etc. Photos must be supplied via email or on a memory stick as JPEGs prior to video editing starting. We can also include honeymoon photos but please be aware this may delay the delivery of the final video.

It is our aim to have the finished video within 4-weeks of the wedding day.

Additional filming is charged at £75.00 p/h.

Travel expenses will be charged if the location is further than 30 miles from The Wedding Videos Head Office (RH9 8AD).

VIDEO EDITING

Our standard video editing service includes 1 consultation (usually via phone or email) and 1 round of minor changes. We ask that couples are very clear with the changes they would like and cover in detail all the changes they would like. Please note that alterations after this first round of changes will be charged at our standard rate of £75.00 p/h.

ADDITIONAL VIDEO EDITING

Breakdown of our standard video editing process:

Digital Capture & Transcode (2 hours minimum).
Digital Video Editing (4 hours minimum).
• Colour Grading / Audio sampling (1-hour minimum).
Video Export & Upload (1-hour minimum).

Minor Changes: Include standard running order sequence changes, swapping music tracks, altering a graphic title etc.

Studio Editing: This is often the quickest and most cost-effective method of video editing. Our normal work practice is to send over the first draft of the edit to the client, then any changes can be made quickly without the need to export and send over re-edited versions of the video. This workflow means the client gets exactly what they want a lot quicker rather than having to re-edit, email/phone through additional changes.

Remote Editing: Is often used as we can edit the video in our studio without the client needing to be present. By communicating via telephone and email we can often process alterations and just email over an updated video. However, because of the nature of video editing, even a small change that might only take 10 minutes to correct in the edit can take a few hours to process and get sent back to the client. On average a short 5-minute video will take 1 hour to export at low resolution and re-upload or email back to the client.

Added Extras: Can also be made but there are additional costs, these are quoted separately.  An “Added Extra” would include anything that has not been specified in the initial quote and is not in writing prior to any video editing starting. A normal “Additional Extra” request would be for additional video or photos (youtube etc) or for motion graphics titles to be added at a later date.


USB STICKS

All of our USB Sticks are formatted to ExFat which is MAC and PC compatible, this means the USB Stick should work on most computer and TV devices.


REFUNDS

We have never cancelled a wedding video booking but if some unforeseen circumstance arises and we cannot film your wedding we will offer a full refund (including the deposit). All of our team film on Sony cameras and have years of experience so you are in safe hands, we also never double book ourselves so one of the team is nearly always available to film your wedding. We also have a list of great wedding videographers that we can call on in case we cannot film a wedding (but we have never had to do this).

DATE CHANGES (Non-Covid)

If you wish to change the date of your wedding we require a minimum of 30 days notice, meaning if we are given at least 30 days notice we will happily move the filming date. If we cannot film on your new wedding date and you have notified us of the date change 30 days before your wedding date we will offer a full refund (including your deposit). However, failure to notify us more than 30 days before your wedding date will result in you becoming 100% liable for the full payment of the wedding video, our standard cancellation (Non-Covid) policy applies.

CANCELLATIONS (Non-Covid)

Our standard cancellation policy for all cancellations is that, if you (the bride or groom) cancel the wedding less than 30 days before your wedding date then we will not offer a refund, this is because we will be unlikely to fill your date with a new wedding and thus we would lose out. If however, you need to cancel your wedding video booking and we are given at least 30-days notice then we will happily give a full refund (including the deposit).

CANCELLATIONS & DATE CHANGES (Covid-19 Policy)

During the Covid-19 Pandemic, we are working with all couples to either move dates or give a full refund if cancellation happens, our full Covid-19 Policy can be seen here:

  • We are committed to making sure all our couples have the best wedding day and we will do everything in our power to make sure we deliver this.
  • If your wedding is postponed due to Covid-19 your booking will be transferred to a new date, if we cannot make your new date we will offer a full refund (including booking deposit).
  • If your wedding is canceled due to Covid-19 we will offer a full refund (including the booking deposit).

 

ABUSIVE BEHAVIOUR

Occasionally guests at weddings get a little drunk and can become abusive, if any of our videographers feel threatened or that them, their equipment or vehicle is at risk they will leave the wedding immediately. Our standard cancellation policy will apply and you will receive no refund or video as we do not tolerate any sort of abuse towards our videographers.

 

SOCIAL MEDIA

Our standard practice is to post a few ‘behind the scenes’ images on our Instagram account & Facebook page during your wedding day, these images are usually wide-angle and include the venue location, we always aim not to post anything too personal. We may also choose to post a few video screen grabs (usually 4-5 images) or a social media edit (usually 60-seconds) after the wedding day on our social media pages. If you would like to avoid your images being posted on social media please let us know as we are always happy to not post.

 

UNFORESEEN CIRCUMSTANCE – EQUIPMENT / SICKNESS & TRAVEL

All of our equipment is checked and batteries are charged the day before, we always leave early and check our travel times before setting off. We always ask for a primary phone number & email address of the Bride and Groom upon taking any booking. We always do our best to minimise the chance of something going wrong but sometimes (very rarely) they may be unforeseen travel issues or sickness etc. In any of these eventualities, we will still try to film your wedding but in extreme cases when the videographer is unable to attend your wedding we will provide a replacement videographer. All of our recommended videographers use the same brand of video equipment so there will be no change in the quality of your wedding video. In the event of the original videographer and the replacement videographer not being able to attend and film your wedding a full refund will be paid within 24 hours, if part of your wedding is missed due to traffic etc we will offer a partial refund in line with the hours missed.

 

PROVIDING FOOD

We are always grateful for the couples who provide food for us on the day. Most wedding days at 11.30 am – 7.30 pm and can involve multiple locations so as you can imagine filming a wedding can be quite tiring. Most couples will ask the caterers to set aside one main meal for each videographer/photographer and we would usually eat this meal at the same time as your guests eat so we can be ready for the speeches which are usually after the dessert is served.
